An accounting CRM integration needs to explain differences as well as move records. A green connection status does not prove that every accepted order has an invoice reference or that the payment status shown to sales is current. Design reconciliation as an ordinary operating task, with a defined comparison, an exception queue and a person responsible for resolving it.
Choose the business event that crosses the boundary
Decide whether the CRM sends a customer record, an accepted order request or a draft invoice request. Those are different events with different approval requirements. Marking an opportunity won should not automatically imply that finance has issued an invoice. The integration should show the stage actually reached and the acknowledgement received from the accounting system.
Document which system owns each fact. The CRM may own sales contacts and next actions, while the accounting system owns issued invoice status and allocated payments. Finance should define financial mappings and adjustments. The integration implements those decisions; it should not invent accounting treatment from a salesperson's free-text note.
Link records with identifiers that survive renaming
Maintain a mapping between the CRM account identifier and the accounting customer identifier. Do the same for transferred orders or invoice requests. Names and email addresses help users recognise a customer, but they are weak permanent keys. Two branches can share a trading name, and a finance contact can change without the customer becoming a new organisation.
Include the accounting organisation or company context in the mapping where several entities are connected. An identifier meaningful in one company file may be meaningless in another. Route uncertain matches for review before creating financial records. A small delay for a correct match is preferable to a duplicate customer account that later needs manual reconciliation.
Specify what retries are allowed to repeat
A connection can fail after the destination creates a record but before the CRM receives the response. Retrying blindly may create another record. Give each intended business operation a stable reference and use the destination's supported duplicate-prevention mechanism. If the outcome is uncertain, check for the existing result before issuing a fresh create request.
As a concrete payment-system example, Stripe documents idempotency keys for safely retrying supported requests in its idempotent requests reference. That does not establish equivalent behaviour in an accounting connector. Confirm the chosen product's rules, retention window and supported operations, and keep a durable reconciliation record within your integration.
Reconcile records and amounts separately
Start with completeness: did every eligible source operation receive a destination identifier? Then compare the relevant fields, such as customer mapping, currency, status and agreed total. Count checks alone can miss a duplicated invoice paired with a missing one. Total checks alone can miss two offsetting errors. Use both alongside record-level comparisons.
Separate legitimate timing differences from failures. A recently queued operation may be within the expected processing window. An old unacknowledged request requires attention. Show the source timestamp, last attempt, destination reference and reason for the difference. Group amounts by currency and comparison basis instead of combining unlike values into a single reassuring total.
Worked hypothetical example: a partial payment
A fictional supplier has an issued invoice for 1,200 accounting units. Finance records an allocated payment of 500, leaving 700 outstanding. The CRM display still shows 1,200 outstanding because its last update predates the payment. Reconciliation finds a 500-unit difference against the current accounting record and marks the CRM status as stale.
The operator retrieves the authoritative invoice state and updates the CRM to 700 outstanding. They do not create another payment merely to make the systems agree. If finance later allocates a 100-unit credit, the displayed outstanding amount becomes 600 after the next successful reconciliation, using finance's recorded state.
The example deliberately omits tax calculations and commercial adjustments; those belong to the finance-defined record. Its purpose is to show the difference between refreshing a representation and creating a financial transaction. All amounts and events are hypothetical, not client results or financial advice.
Do not assume events arrive once or in sequence
Where payment events are involved, Stripe's webhook documentation warns that duplicate deliveries can occur and event order is not guaranteed. Design the relevant handler to recognise processed events and obtain the state it needs. Verify the corresponding behaviour separately for your accounting provider rather than treating all webhook systems as identical.
Operationally, this means an older event should not blindly overwrite a newer confirmed status. Record event identity and processing outcome, then define how conflicting or incomplete information is reconciled. Protect financial records from arbitrary manual edits in the CRM if those fields are meant to mirror the accounting system.
Give exceptions a controlled resolution path
- Separate missing mappings, rejected requests, uncertain outcomes and stale statuses.
- Assign a business owner and technical owner where both are needed.
- Show whether retrying is safe or requires investigation first.
- Record the correction, approver where required and resulting destination reference.
- Re-run the comparison after correction to verify the exception has cleared.
Review recurring exceptions for a common cause, such as incomplete customer references or inconsistent currency fields. Fix the upstream input where possible. Repeatedly clearing the same rejected records by hand is an operating cost that belongs in the CRM ownership cost worksheet.
Test the failure cases before launch
Use a test environment to rehearse a timeout after creation, a duplicate event, a partial payment, a changed customer mapping and a disconnected account. Confirm that the operator can explain every difference without inspecting raw application logs.
