Most security companies still prove attendance with a paper book, a phone call and a manager's word. It works until a client disputes an invoice — and then nobody can show who stood at that door, or when. S4 is security guard management software built around that single problem: every shift should leave evidence behind it that survives an argument six months later.

Verified check-in that needs no hardware

A guard checks in from their phone. The server — not the app — decides whether that check-in is real. It tests the guard's position against the site boundary using PostGIS, stamps the time from its own clock, confirms the SIA licence is still valid that day, and refuses anything outside the shift window.

Three check-in modes are available per site, so you match the evidence to what the contract will fund:

  • Location only — nothing at the door. The guard taps "I've arrived" and the geofence decides. Costs nothing, works everywhere.
  • Printed code — a laminated QR fixed to a wall, a few pence. Adds proof of a specific spot inside the boundary.
  • Rotating code — a code that changes every 90 seconds on a powered screen, for clients who ask for it by name.

The important part: a QR code has never established where a phone is, only what it was pointed at. The geofence is what proves presence, which is why S4 defaults to the mode that needs no hardware at all.

Live map of everyone on shift

Supervisors see every guard currently working on one map, with the site boundary drawn around them. Guards inside the fence show green; anyone who has drifted off site shows red with the distance. Positions refresh continuously from check-in until check-out, and never outside that window — tracking is bounded by the shift on both the app and the server, so the platform cannot collect location from someone who is off duty.

Click a guard's marker and their arrival photo appears, so "is that the right person on that door?" is answered in one click rather than a phone call.

Patrol rounds with real coverage reporting

Set patrol points anywhere on a site. Guards see the round as a checklist, tap the point they are standing next to, and scan. Every scan is validated against that specific point's own secret and its own tolerance radius, so a code photographed at the entrance cannot be replayed at the rear fire exit.

The company sees coverage as a number a client can read: four of five points reached, rear exit missed at 02:40. That is the report that renews a contract.

Photographic evidence with integrity you can prove

Where a client requires it, guards photograph themselves holding their SIA licence on arrival. Each image is hashed with SHA-256 at upload, and the reviewer's screen warns immediately if the stored bytes ever stop matching that digest. The capture time comes from the server, never the phone.

Photographs are deleted automatically after 30 days. They are images of identifiable people, so retention is enforced by the platform rather than left to good intentions.

Shift messaging that becomes a record

Each shift opens its own message thread between the company and the guard — gate codes, who to ask for, where to park. When the guard checks out, the thread closes. It stays fully readable forever but accepts no new messages, because a finished shift's conversation is evidence, and evidence that can still be edited is worth very little. The next shift opens a fresh thread.

Timesheets and invoices derived from the evidence

Hours are not typed in by anyone. They are calculated from the check-in and check-out trail, with unpaid breaks deducted. A shift with no completed check-out pair produces no payable time at all — S4 refuses to invent it. Approved timesheets bundle into invoices with your platform fee and VAT, and every movement is written to a double-entry ledger that must balance.

Cover for the 3am phone call

When a guard drops out, S4 finds licensed, available guards ranked by distance from the site, broadcasts the shift, and gives it to whoever accepts first. Everyone else's offer is superseded automatically, so two guards never turn up for one door.

Built for the compliance conversation

SIA licence status is checked at application, at approval and again at the moment of check-in — an expired licence blocks the shift immediately rather than surfacing in an audit months later. Every consequential action is written to a hash-chained, append-only audit log, and attendance events cannot be edited by anyone, including us. A note on testing check-in: the geofence is real. To check in successfully you need to be inside the demo site's boundary, or move the site's geofence to your own location first from Sites in the company console. A rejected check-in from the wrong place is the software working correctly.
