Connecting marketing data to a CRM can reveal which recorded journeys are associated with enquiries and sales. It cannot reconstruct every influence on a buying decision. Useful attribution begins by defining what was observed, how records were matched and what the reporting model chooses to credit. Without those distinctions, a precise-looking revenue table can encourage decisions the underlying evidence does not support.
Separate source capture from attribution
Source capture records information available when an interaction occurs, such as campaign parameters or a referring page. Attribution assigns credit for an outcome according to a rule or model. These are different operations. A populated source field does not establish that the recorded channel caused the purchase.
Google Analytics' attribution documentation explains how credit is assigned across interactions. When comparing an analytics report with CRM reporting, document the attribution model and relevant settings in each. Different answers may reflect different definitions rather than a failed integration.
Specify which source each field represents
A CRM may contain an original source, a latest source, a form-submission source and a salesperson's answer to “how did you hear about us?” Keep those meanings explicit. Overwriting all of them with the latest campaign label discards useful history and makes later explanations difficult.
Define update rules before connecting systems. Decide whether a returning contact's new enquiry creates a separate interaction record and which fields remain unchanged. Preserve timestamps and the source of each value. A customer correction recorded by a salesperson should be distinguishable from automatically captured browser information.
Recognise the gaps between people and records
A buyer may research on one device, discuss the supplier with a colleague and submit an enquiry from another device. A CRM record usually represents the known contact or organisation, not every anonymous interaction that preceded it. A matching rule cannot recover a journey the systems did not observe.
In B2B sales, several people may influence one opportunity. Combining all their interactions into an account report can be useful, but the method needs explanation. Do not assume that the first known contact, the person completing the form and the person approving the purchase are interchangeable.
Preserve unknowns instead of inventing certainty
Missing campaign information can result from untagged links, redirects, unavailable measurement or a journey that began offline. Treat unknown as a legitimate reporting category. Mapping every missing value to organic search or direct traffic creates a cleaner chart at the cost of accuracy.
Self-reported source can add context, especially for referrals and events. It is still a person's recollection, often summarising several influences. Keep it alongside observed data rather than using it to silently overwrite the technical record. Disagreement between the two can be informative without either field being a complete account.
Match records with explicit rules
Decide what constitutes a duplicate lead, a returning customer and a new opportunity. An email address may help identify a contact, but it does not automatically identify the correct deal. Shared addresses, changed employers and several active projects can all complicate joins between marketing and commercial records.
Keep uncertain matches reviewable. Document the identifier used and the reason a record was connected. Avoid sending contact details or message text into general website analytics just to make reporting easier. Design the joining process around the approved purpose and the information each destination actually needs.
| Observed issue | Reporting consequence |
|---|---|
| Returning contact submits a new request | Contact origin and opportunity source may legitimately differ. |
| Several people contribute to one deal | One contact's journey may not represent the buying group. |
| Campaign details are missing | Channel credit remains uncertain rather than automatically organic. |
| Deal closes long after enquiry | Recent cohorts cannot yet be compared fairly with mature ones. |
Distinguish revenue definitions and time windows
State whether the report uses proposed deal value, booked revenue, invoiced revenue or collected payment. Those figures answer different questions. A pipeline amount is not realised income, and a closed deal may later be reduced or cancelled. Define how corrections flow back into the report.
Align the observation window with the sales cycle. Compare enquiry cohorts at similar stages of maturity and show the date on which outcomes were assessed. A campaign generating recent opportunities can look weak beside one whose leads have had much longer to close. Changing the window changes the question the report answers.
Use attribution to investigate, not prove causation
Consider a hypothetical buyer who first hears about a supplier from a colleague and later clicks a search advert before enquiring. A model may credit the advert because that interaction was observed. The report cannot establish that the advert alone created the demand or that removing it would leave the sale unchanged.
Use attribution patterns to form hypotheses about useful channels and journeys. Where the decision warrants it, controlled experiments can provide evidence about incremental effect. Keep experimental findings distinct from allocation models. A channel receiving credit under a rule is not the same as a channel demonstrably causing additional sales.
Publish a readable limitations note
Every recurring report should name the source fields, matching rules, model, revenue definition and important gaps. Keep the explanation short enough for decision-makers to read and detailed enough for an analyst to reproduce. Review changes in definitions before comparing historical periods, because a reporting change can resemble a marketing improvement.
