The short version: Augmented reality for trade shows earns its place when it does one of two jobs: showing a product that is too large, too expensive or too internal to bring to the hall, or getting a qualified name into your CRM without a clipboard. It does not earn its place as a crowd-pleaser. The format that works on a stand is WebAR opened by a QR code on the visitor's own phone, because it serves unlimited people at once, needs no hardware to hand out, sanitise or babysit, and drops the lead straight into a form. Headsets look impressive in the pre-show deck and throttle your stand to one visitor at a time.

What a stand is actually for

Exhibiting is expensive. Space, build, travel, accommodation, staff away from their desks for three days. Whatever the invoice comes to, it buys one thing: conversations with people who might buy from you.

This is worth stating plainly because it is the test every piece of stand technology should pass, and most do not. A touchscreen that entertains a queue of students is a cost. An AR experience that lets a procurement lead see your machine at full scale in the aisle, then leaves their details in your CRM, is an investment. Same technology, entirely different outcomes, and the difference is almost never the AR itself. It is whether anyone designed the bit that comes after.

Ask this before commissioning anything. When a visitor finishes the experience, what happens in the next ten seconds? If the answer is "they hand the tablet back and walk off", you have bought entertainment. If the answer is "their email is in HubSpot with a note about which product they configured", you have bought a lead generator. The technology is identical. The design is not.

Three AR formats that work on a stand

Almost everything worth building for an exhibition falls into one of these. They are listed in the order we would usually recommend them.

The product you could not bring. The strongest use by a distance. Industrial machinery, vehicles, modular buildings, large format equipment. Place it at true scale in the aisle beside the stand and a visitor understands its footprint in a way no photograph or scale model conveys. If your product is too big to ship to the NEC, this is the argument for AR in one sentence.

The cutaway. Exploded views, internal components, flow paths, layer construction. Anything where the value is inside the casing and normally requires a cross-section prop that cost a fortune and only shows one state. AR lets a visitor pull it apart and reassemble it, and lets your stand staff explain rather than gesture at a poster.

The configurator. Let a visitor build their specification — size, finish, options — and see it at scale. This is the highest-intent format because the configuration itself is qualification data. Someone who spent four minutes configuring is a materially better lead than someone who scanned and left, and you will know which is which.

Notice what is missing: branded games and face filters. They draw crowds and generate photographs for the wrap-up deck. They rarely generate pipeline, because the people they attract are the people with time to spare, which at a trade show is close to the inverse of the people you want. If your objective is genuinely brand awareness at a consumer event, that calculus changes — but be honest about which show you are at.

The throughput argument against headsets

This is the part that decides the format, and it is arithmetic rather than opinion.

A show is open a fixed number of hours. A headset serves one visitor at a time, and the real cycle is longer than the experience: fitting, adjusting, explaining the controls, the experience itself, removing, wiping down. Call the true cycle several minutes even if the content is ninety seconds. One headset, one member of staff permanently assigned to it, and a hard ceiling on how many people can go through it in a day.

WebAR on the visitor's own phone has no such ceiling. Ten people can scan the same QR code simultaneously. Nobody queues, nobody touches shared hardware, and your staff are talking to people instead of operating equipment.

The last two rows are where the real value sits and where most stands lose it. A headset experience ends when the visitor takes it off. A WebAR link is on their phone in their pocket on the train home, and it is still there when they are writing up the shortlist a fortnight later.

The lead capture chain

Here is the whole design, and every link matters. Break one and the rest is decoration.

Two details make a disproportionate difference. First, ask for one thing. An email address, on a phone, standing up, in a noisy hall. Every additional field costs you completions, and you can enrich later. Second, the value has to come before the ask. Let them use the experience first and request the detail at the point they want something to take away. Gating the AR behind a form converts a queue into a walk-past.

A small thing worth doing: put a distinct QR code on each side of the stand, or on the printed handout, and give each its own tracking parameter. It costs nothing and by the end of day one you know which placement is actually working, while you can still move the sign.

Working out what a lead can cost

Before commissioning anything, work out what the show is already costing you per conversation. Most exhibitors have never calculated it, and the number reframes the AR decision entirely — usually by making it look cheap relative to the space.

Your current cost per stand conversation

Rough arithmetic, calculated in your browser. Nothing is sent anywhere. Use last year's numbers if you have them.

The point is not the output figure. It is that once you know your cost per conversation, the question stops being "is AR expensive" and becomes "would this plausibly move the number enough to pay for itself". That is a question you can actually answer, and for a lot of exhibitors the honest answer is that better stand staffing would move it further for less. We would rather you worked that out in advance.

Logistics nobody plans for

Everything below has caused a real problem on a real stand. None of it is technical.

Hall wifi is unusable

Assume it will fail at the worst moment. Every asset must be small enough to load over congested mobile data, and someone should test on the actual stand before doors open.

Exhibition lighting

Bright, even, overhead lighting is genuinely hostile to surface detection. Test placement under hall conditions, not office ones, and give the experience a floor plane it can find.

Nowhere to point the phone

Placing a three-metre machine needs three metres of clear floor. If your stand has none, plan the experience around the aisle and get that agreed with the organiser first.

Glare on the QR code

A gloss-laminated panel under exhibition lights can be unscannable from the angle people approach. Matte finish, eye level, and check it from where visitors actually stand.

Staff who have not seen it

The most common failure of all. If your team first encounters the experience on the morning of day one, they will not prompt visitors to use it. Brief them a week ahead.

Phone batteries

Visitors on hour six of a show are at 12% and protective of it. Keep the experience short, and consider a charging point as the reason to come back.

Before and after the show

The strongest argument for WebAR at an exhibition is that the exhibition is not the only place it works. You are commissioning an asset, not a three-day rental.

Before. Put the link in your pre-show email. Visitors who have already seen your product at scale arrive at the stand knowing what they want to ask, which is a materially better conversation than starting cold.

How this goes wrong

Built as a spectacle

Impressive, crowded, and no mechanism for capturing anyone. Decide the lead action before the creative, not after.

Gated behind a form

Asking for details before the value is delivered converts interest into a walk-past. Give first, ask second.

Too heavy to load

An asset built for a desktop demo will not load on hall wifi. Design for the worst connection in the building.

Scrapped after one show

Commissioned as event collateral, never repurposed. The same build should serve the website and the sales team for a year.

No tracking parameters

Without them you cannot tell which placement, which show or which product drove anything, and next year's budget becomes guesswork.

Staff not briefed

Visitors rarely scan unprompted. The experience only works if your team actively points people at it.

Frequently asked questions

Is augmented reality for trade shows actually worth the cost?

It is worth it when your product is too large, too expensive or too internal to bring to the hall, or when you need a lead capture mechanism that works faster than a clipboard. It is not worth it as a crowd-drawing spectacle, because the visitors with time to queue for entertainment are usually not the visitors you travelled to meet. Work out your current cost per qualified conversation first by dividing total show cost by the conversations you typically get. That number tells you what an uplift would be worth and whether AR is the cheapest way to buy it.

Do visitors need to download an app to use AR on our stand?

Not if you use WebAR, and you should. The visitor points their phone camera at a QR code, the link opens in the browser they already have, they grant camera permission once and the experience runs. There is no app store visit, no install and no account. At a trade show this matters enormously, because asking a busy visitor to install software costs you almost all of them, and app-based experiences also mean shipping and managing hardware.

Should we use AR headsets on an exhibition stand?
