What does a bespoke rota system do for a restaurant?

A bespoke system is where restaurant shift management stops being a paper rota and a WhatsApp group: it builds the week from staff availability and contracted hours, publishes the rota to staff phones, handles swaps and cover with manager approval, pushes late changes instantly, and totals the agreed hours into a clean file ready for whoever runs payroll.

Overview

Restaurant Shift Management Without the Paper Rota

Friday afternoon, and the rota is a photograph of a noticeboard in a WhatsApp group, already out of date. That scene is exactly what restaurant shift management is meant to replace: one live rota, built from real availability and contracted hours, published to every phone, and updated in one place when somebody calls in sick. No screenshot chains, no version arguments at the pass, and no manager rebuilding the week from memory on a Sunday night because the paper copy has a coffee ring over Saturday.

Building the week starts from what your team has already told you. Each person’s availability and contracted hours sit in the system, along with their roles — kitchen, floor, bar, delivery — so the rota is assembled from real constraints instead of wishful thinking. Gaps show up while you are planning, not when a shift starts with nobody on it. Regular patterns, like the Saturday double or the student who can only work term-time evenings, are part of the picture rather than things one manager happens to remember.

Once the week is built, it is published straight to staff phones. There is one current version, and it is the same version for everyone. That sounds obvious until you have watched a team work from three different screenshots in the same group chat, each certain theirs is the latest, while the manager referees versions instead of running the floor. One published rota, updated in one place, ends that particular argument for good. When somebody needs to swap, the request happens inside the system: a colleague agrees to cover, a manager approves it, and the rota updates. Nothing changes silently, nobody turns up for a shift they gave away, and the bespoke software approach means the approval flow matches how your venue actually delegates, rather than how a generic product assumes you do.

This is not a product we sell off a shelf, and this page will not pretend otherwise. Visuosofts is a Manchester studio, founded in 2020, that designs and builds software around how a specific business runs — websites, ecommerce, CRM and bespoke systems like this one. A rota system built for a single-site bistro looks different from one built for a group with shared staff across venues, and we would rather build the right one than sell you the nearest one. The rest of this page describes what that system does and how it gets built.

What we build

What the System Handles

Rota built from availability

Build the week from the availability and contracted hours staff have already given you, instead of starting from a blank grid and hoping it fits.

Published to every phone

When the rota is ready it goes straight to staff phones, so nobody works from a photograph of last week’s noticeboard.

Swaps and cover, with approval

Staff can request a swap or offer cover inside the system, and nothing changes on the rota until a manager approves it with one tap.

Late changes, pushed instantly

Sickness, a big booking or a closed section: change the shift once and affected staff are told straight away, not via a forwarded message chain.

Hours logged and visible

Staff hours are logged against the rota as the week runs, so managers can see who worked what before queries and corrections pile up later.

Hours ready for payroll

At week end, agreed hours are totalled and exported in a clean file you can hand to whoever runs payroll, without retyping from paper.

Labour cost against trade

See the cost of the planned rota set against the trade you expect, so a quiet Tuesday and a fully booked Saturday are staffed differently.

Holiday and absence in one place

Holiday requests, absence notes and time-off approvals live with the rota instead of scattered across texts, emails and conversations nobody can find again later.

How we work

How a Build Runs

  1. Tell us how service runs

We sit with managers and staff to map roles, shift patterns, availability rules and the workarounds the paper rota currently hides.

  2. Agree the first version

We scope the smallest system that replaces the paper rota properly, and quote that build in writing before development starts.

  3. Design the screens

Clickable designs for managers building a rota and staff checking shifts on a phone, tested with the people who will use them.

  4. Build and connect

We build the system and, where it helps, connect it to the booking, ordering or customer records you already hold.

  5. Roll out to the team

A staged launch, team by team, with staff shown how to check shifts, request swaps and log hours from day one.

  6. Support and extend

Ongoing support and small improvements as the venue changes, with new reports or rules added when the way you work changes.

Built, not bought

A System Built Around Your Venue

First, the honest framing. This is a system Visuosofts designs and builds for a specific restaurant or restaurant group, as part of our bespoke software and CRM work. It is not an off-the-shelf product with a public price list, and there is no per-seat monthly price to quote you, because the right system for a twelve-cover bistro and the right system for a three-site group are genuinely different builds. Every engagement starts with a discovery call, and the system is scoped and quoted per build after that conversation. Anyone who prices your rota software before asking how your venue runs is guessing, and you would be paying for the guess.

So what does the build actually start from? Your team. Availability is collected once and kept current, contracted hours are recorded against each person, and roles reflect reality: the chef who cannot be rota’d onto the bar, the supervisor who can open and close, the delivery drivers who only exist as a team on Fridays. When a manager builds the week, they are placing real people with real constraints, and the system can flag the obvious problems — a person double-booked, a role left empty, someone scheduled well past their contracted hours — while there is still time to fix them calmly.

Publishing is where the paper rota truly dies. The finished week goes to staff phones as the single current version. When a late change lands — and in hospitality it always lands — the manager changes it once and the affected staff are told instantly, rather than the news travelling through a group chat that half the team has muted. Swaps and cover requests follow the same discipline: staff arrange them between themselves, a manager approves, and the rota everyone sees is the rota that is actually happening. The arguments about who saw which version simply stop having material to work with.

There are also working-time basics a rota system should quietly help you respect: rest between shifts, sensible weekly totals, and breaks on long shifts, particularly for younger staff where the rules are stricter. We are software people, not employment lawyers, so we will build the warnings and patterns around the guidance rather than around our interpretation of it — the ACAS guidance on working hours is the plain-English reference most venues work from, and it is worth reading before we agree the rules your system should flag. Getting this right protects your team and removes a class of rota mistake that paper makes very easy.

At the end of the week, the system totals the hours actually worked and agreed, and exports them in a clean, tidy file that you hand to whoever runs your payroll. Let us be precise about what that means: we are promising a clean export of agreed hours in a format your payroll person can work from, not a named integration with a specific payroll product. If your accountant or payroll provider needs the file shaped a particular way, that is exactly the sort of requirement a discovery call exists to surface, and we will build to it where it is practical.

The view managers tend to value most, once the basics are in, is labour cost against expected trade. A rota is a spending decision made a week in advance, usually by feel. The system sets the cost of the planned shifts against the trade you expect — the quiet Tuesday staffed lean, the fully booked Saturday staffed properly — so the decision gets made with the numbers visible. It connects naturally to the demand you can already see coming, and for venues whose bookings and orders run through their own restaurant website and ordering channel, that picture gets sharper still, because the bookings are real data rather than a hunch.

A rota system also sits comfortably alongside the rest of your operation. It can live next to booking and ordering data, and alongside a CRM for your regulars, so the guest who books every month and the team who look after them are not managed in separate universes. Where repetitive admin remains — reminders, summaries, follow-ups — our AI automation work can take some of it off your managers’ plates, and ongoing website maintenance and software support keep everything patched and running. If your venue is part of a wider hospitality business, our hospitality and tourism work shows how these pieces fit together.

Questions

Frequently Asked

Is this an off-the-shelf product we can buy today?

No, and we would rather say so plainly than dress it up. This is a system we design and build around how your specific restaurant or group runs, under our bespoke software work. That means no download, no instant sign-up and no standard feature list copied from a generic product. It also means the rota logic, roles, approval flow and reports are yours, shaped around your venue, and you are not paying monthly rent on software built for somebody else’s business.

How much does a system like this cost?

It is scoped and quoted per build after a discovery call, because the cost depends on the number of venues, roles, staff and connections involved, and there is no honest way to price it before that conversation. There is deliberately no monthly per-seat price list: you are commissioning a build, not renting seats. After discovery we quote the first version in writing, recommend starting with the smallest system that replaces the paper rota properly, and price later extensions separately so you can judge the value as you go.

How do staff actually see their shifts?

The rota is published to staff phones, so each person sees their own shifts on the device already in their pocket, and it is always the current version rather than a screenshot from three days ago. When a shift changes, the people affected are told straight away through the system. Staff use the same place to check upcoming shifts, see who they are working with, request swaps and log their hours, which is why the paper copy on the noticeboard becomes redundant quite quickly.

Can staff swap shifts between themselves?

Yes, with a control that matters: nothing changes until a manager approves it. A staff member can request a swap or offer themselves as cover, a colleague can accept, and the change only lands on the live rota once a manager has approved it. That keeps the flexibility staff actually want — people’s lives do change midweek — without the classic failure mode where two staff agree a swap in a chat thread, nobody tells the manager, and Saturday service starts a person down.

Does the system run our payroll?

No. What it does is total the agreed hours for the week and export them in a clean file that you hand to whoever runs your payroll, so nobody is retyping figures from a paper rota or a timesheet photograph. We are not promising a specific payroll integration, because that depends entirely on what your payroll provider accepts. If they need the export shaped a particular way, tell us at discovery and we will build the file to match where that is practical.

Can it show labour cost against expected trade?

Yes, that view is one of the main reasons venues commission a system like this. The cost of the planned rota is set against the trade you expect for each day, so a quiet night and a fully booked night are staffed as the different propositions they are, rather than by habit. Managers can see the week’s labour position before the week happens, adjust the rota while adjusting is still free, and stop discovering the overspend in the same conversation as the payroll run.

Can it work alongside our website, bookings and customer records?

Yes, and for many venues that is where the real value compounds. A rota built with live booking and ordering demand in view is a better rota, and a system that sits alongside your customer records means regulars, bookings and the team serving them are planned together. Because we also build the websites, ordering channels and CRM systems ourselves, the connections are designed in from the start rather than patched together afterwards, and the whole setup stays under one roof for support.
